Embroidery Pricing Calculator Tutorial

An annotated screenshot of an embroidery pricing calculator interface. Red arrows point to various input fields with descriptive labels: Stitch Count for needle time, Machine Speed (SPM) for realistic time estimates, Extra Time for manual labor like hooping, Setup Time for pre-flight tasks, Blank and Consumables costs for materials, Labor and Overhead rates, and Processing Fees (percentage and fixed) for transaction costs

Production Time

  • Stitch Count: Enter the total stitches from your digitizing software. This determines the “needle time” for the project.
  • Machine Speed (SPM): Your actual average Stitches Per Minute. Adjust this down for intricate designs or up for simple flats to keep your time estimate realistic.
  • Extra/Setup Time: The “hands-on” minutes spent hooping, trimming, and prepping. If you don’t track this, you’re likely undercharging for your labor.
  • Setup / Changeover (min): The time spent specifically on “pre-flight” tasks—like digitizing the design, loading the thread colors, or setting up the machine for a new order.

Material Costs

  • Blank Cost: The price of the garment or item. Don’t forget to include a portion of your shipping costs here!
  • Consumables: A small flat fee to cover stabilizer, thread, needles, and bobbins used during the run.

Labor & Overhead

  • Labor Rate: What you pay yourself (or an employee) per hour. This ensures your “time” is treated as a real expense, not just “free” work.
  • Overhead Rate: The hourly cost to run your shop, covering things like electricity, rent, and machine maintenance/depreciation.

Processing Fees

  • Fee %: The percentage-based cut taken by your payment processor (e.g., Stripe’s 2.9% or Shopify’s rates).
  • Fixed Fee: The flat “cents” charge applied to every transaction (e.g., the $0.30 fee typical of credit card processors).
Annotated screenshot of the embroidery calculator’s results section. Arrows highlight the 'Once per order' and 'Per item' fee toggles, explaining how to account for flat transaction fees versus per-unit commissions. An additional arrow points to the 'Target Margin %' field, describing it as the goal for pure profit. The image shows a sample calculation resulting in a suggested price of $75.77 to achieve a 60% margin

Results & Logic

  • Once per order: Select this for “flat” costs that only happen once, regardless of how many shirts you’re making (like a standard $0.30 credit card transaction fee)
  • Per item: Select this for costs that repeat with every single piece you stitch (like a platform commission or a per-unit fulfillment fee).
  • Target Margin %: Your goal for how much of the final price should be pure profit after all expenses are paid.
  • Suggested Price: The “Magic Number.” This tells you exactly what to charge to hit your target margin based on the specific costs you entered above.
